Coworking together
This policy explains when and how team members can meet in person, what costs are covered, and the budgets for meals and coworking.
🚨 Reminder: It’s valuable to see team members in person but always think ‘frugality first’. We must be careful with spending. Our biggest risk as a startup is running out of money. Every pound, dollar, or euro we save now extends our runway.
1. Meeting in Person
- Coworking:
- Team members are welcome to cowork together at local coworking spaces
- Travel to/from a coworking space is not covered
- You can use your productivity budget to go towards coworking space costs.
- Meals, coffees and social time:
- Once per month, you can gather for a meal, lunch, coffee, or dinner together.
- Budget per person:
- London: £30
- Lisbon: €20
- New York City & Boston: $50
- Manila: $10
- Whoever organizes the meal can request a Ramp card with the total amount in #people-tools-ask

3. Bi-annual Offsites
🗓️ Frequency & Format
We aim to host a global offsite every 6 months. These offsites are an opportunity for:
- 🤝 Team bonding – building real relationships beyond screens.
- 💡 Workshopping and planning – aligning on planning and goals for the next 6 months.
- 👩💻 Working side-by-side – solving problems together in person.
Each offsite will be held in a rotating global location, giving us the chance to meet in new environments while balancing travel fairness across regions.
📅 Planning & Ownership
We recognize that scheduling offsites early is critical – for travel planning, family time, and business continuity.
- Now that we are bigger, this project is big to manage so we are hiring support to help us
- We’ll aim to confirm offsite dates 5 months in advance
- A shared planning doc and timeline will be made available to everyone
🌍 Participation & Business Continuity
We want as many team members as possible to participate in our global offsites. That said, we have a responsibility to maintain business continuity, especially for critical lab operations and customer support teams. This becomes extremely difficult when these entire teams are engaged during offsites and does not scale as our business grows. So what does this mean:
- Our current thinking is that only a few team members in our Philippines hub will attend each global offsite in person. We will be thoughtful about who will need to attend and include some type of rotation, and we will start work early on getting visas approved as necessary to facilitate travel.
